ELIGIBILITY FOR SUBMISSION OF BIDS :
The agencies having at least 3 years experience in designing and executing the projects on turnkey basis for setting up of pavilions in international events organized outside India, need only apply.

Details of the Project:

1.India Trade Promotion Organisation has been allotted space in 2 locations (design/layout plan attached):-
(A) White Hall – Aisle I/J 107/110)—57 sq.mtrs. (9.50 mtrs front X 6 mtrs deep).
(B) Red Hall – Aisle N 07 -- 36 sq.mtrs.( 3 X 12 sq.mtrs.)

2.The total area allotted to ITPO is 93 sq.mtrs.

3.A design plan with all specifications (panels, display aids, furniture, lights, fascia, graphics, etc) showing all booths is attached. The same has to be followed.

4.Every booth of 9 sq.mtrs. will have partition panels of 2.5 mtrs., fascia/title graphics/booths no. as per given details, carpet, one round table (Glass top), three revolving chairs, 2 lockable showcase with two glass shelves (100 cm X 50 cm X h = 100 cm), glass shelves in 2 level, one waste paper basket, three halogens (200 watts each), one electric socket with electric connection. For 18 sq.mtrs. booth double all the items. 12 sq.mtrs. booth provide 4 revolving chairs, 4 halogens, glass shelves in 3 level and other items same as for 9 sq.mtrs.

5.The colour details of Title Graphics, Panel Graphics and placement has been clearly shown in the plan.

6.Names for the fascia indicated in each booth. Each corner booth have 2 fascia. 18 sq.mtrs. booth have 3 fascia.

7.The quote will include providing all the material as per specifications, labour, assembling, dismantling, transportation, drayage, electricity connection and consumption, maintenance, pre & daily cleaning of the India Pavilion and garbage disposal.
Rules/regulation of Fair Organisers, Hospitalar fair & Congresses and Expo Center Norte (Sao Paulo) are required to be adhered to while undertaking the project. The material to be used by the agency has to be of a very high quality. The agency is also required to send a list quoting rates of additional display aids and furniture, if required by participants directly.

You are requested to forward the sealed quote as per our layout plan. The quotes should be in two different envelopes with clear marking as Technical & Financial offer :

1.Technical – Brief of the Agency and the major international jobs done in last 3 years including technical details of the job. Actual photographs of the material to be used i.e. panels, lights, display aids, furniture, graphics etc. along with a 3D view of the booths and the total site (with graphics) is required to be submitted.

2.Financial – Total price to be quoted (in Euro) inclusive of all Taxes for the job as per details in the design plan.

ITPO reserves the right to:

1.To make minor changes in the plan.

2.ITPO reserves the right to accept or reject any proposal at any time prior to award of contract/order, without assigning any reasons and without any liability on ITPO.

The quotations must reach ITPO in all respect latest by 29 April, 2011 by 3 pm in Room No 226 addressed to undersigned
