TENDER NOTICE Subject: Designing and Construction of India Pavilion at Trade Fair Accenta, Belgium India Trade Promotion Organisation (ITPO), a Government of India enterprise, invites sealed technical and commercial bids for construction of booths of 9 sq, mtrs. and bigger sizes in an area of 468 sq. mtrs. of bare space for the India Pavilion at Trade Fair Accenta, Ghent, Belgium to be held during September 10-18, 2011. The technical and commercial bids are to be submitted in the prescribed forms attached here to. Details of the Project: 1. An area of 468 sq. mtrs. is to be covered with carpets in different colours for passage and exhibition booths of India pavilion to be managed by India Trade Promotion Organisation. About as much as 312 sq. mtrs. of space is proposed to be utilised for construction of booths/ ITPO office etc. and about 156 sq. mtrs. for passage corridors. There could be minor deviation in the space utilisation for booths viz-a-vis passage depending on the final layout of India Pavilion. The colours of carpets for booths and passage are to be of different colours. 2. About 30-35 booths of 9 sq. mtrs. and bigger sizes are to be built up for exhibitors including ITPO’s office/common facilitation centre. 3. A design plan with all specifications (display aids, furniture, lights, fascia, etc) showing all the booths is attached. The layout plan of booths is tentative and may undergo some changes depending on the needs of the exhibitors and the sizes of the booths. 4. Every booth of participants will have partition panels (3.5 mtrs), coloured carpet, fascia as per details to be given, spot lights of 100 watt with adjustable arm, two level shelves as shown in the plan, two chairs with one round table, a counter, one electric socket, one ash tray and one waste paper basket for each 9 sq. mtrs booth, 2 panel graphics of dimension 0.5m X 2.5m to be pasted on panel as shown in the layout plan 5. ITPO’s office-cum-common facilitation centre will have partition panels (3.5 m), colour carpet, fascia as per details to be given, 10 spot lights with adjustable arms (100 watt each), one lockable counter, seven chairs, two tables, two electric sockets, two ash trays, two waste paper baskets, one tea /coffee vending machine, 2 panel graphics 0.5m X 1.5m to be pasted on panel as shown in the layout plan. 6. The colour details of Title Graphics, Panel Graphics and placement have been clearly shown in the plan. 7. The layout plan of the pavilion, design graphic for the panel and booth design and display aids are attached to this document. 8. Details/Names for the fascia will be provided by ITPO separately. 9. Electricity outlets and consumption from the fair authority is to be arranged by the successful bidding C&D agency which will also undertake the distribution of the same in booths as per requirement. 10. The rates should include assembling, dismantling, transportation, drainage, maintenance, pre & daily cleaning of the India Pavilion and garbage disposal. General Information, Rules/regulation of the fair authority are to be adhered to by the agency while undertaking and executing the project. The material to be used by the agency should to be of a very high quality. The agency is also required to send a list quoting rates for additional display aids and furniture, if required by participants additionally. Eligibility for submission of bids: The agencies should have at least 3 years’ experience in designing and executing projects on turnkey basis for setting up pavilions in international events organized outside India. Eligible and interested agencies are requested to forward the sealed quotations. The quotations should be in two different envelopes clear marked as i) Technical BID - C&D Accenta 2011 & ii) Financial Bid – C&D Accenta 2011: 1. Technical – Brief of the Agency and the major international jobs done in last 3 years including technical details of the job. Actual photographs of the material to be used i.e. panels, lights, display aids, furniture, graphics etc. along with a 3D view of the booths and the total site (with graphics) is required to be submitted in addition to the general information on the company. 2. Financial – Total price to be quoted (in Euros) with all Taxes separately viz. VAT etc. for the job as per details in the design plan . ITPO reserves the right to: 1. To make minor changes in the plan/graphics and 2. to accept or reject any proposal at any time prior to award of contract/order, without assigning any reasons and without any liability on ITPO.
