India Trade Promotion Organisation, a Govt. of India Enterprise with its headquarters at New Delhi and overseas offices at New York (USA), Tokyo (Japan), Frankfurt (Germany), Sao Paulo (Brazil) and Moscow (Russia) is contemplating to have a system for audio-video communication (video conferencing) for regular face to face interaction between its headquarters at New Delhi and the overseas offices mentioned above. The audio video interactions intended to take place simultaneously among all the above at any given point of time.

In order to meet the above end, ITPO invites sealed bids from interested companies engaged in the business of providing audio video business communication solutions. The commercial bids should indicate per unit rates with tax component in respect of hardware, software and services involved in putting in place the required solution. Interested companies may offer more than one solution.

It may so happen that some of the hardware/services like internet connectivity etc. may already be available with ITPO. In such cases, ITPO would be making use of the available resources for the purpose of video conferencing. However, the bidding companies should offer complete solution(s) to ITPO.

The successful bidding company, in addition to the supply and installation of equipment etc., would also facilitate at least two video conferences in the initial stage using its own manpower and impart necessary training to ITPO’s personnel to operate the equipments and conduct the conferences in future.

Interested companies may please submit their sealed bids as per the following details and schedule:

Cost of tender document	: Rs. 300/- through demand draft or in cash
Last date for sale of tender document & clarifications	: August 13, 2008 (upto 05.00 pm)
Last date for submission of sealed bids	: August 14, 2008 (upto 05.00 pm)

(1)	Tender document can be collected in person on payment of Rs. 300/- in cash or a demand/bank draft for the said amount favouring India Trade Promotion Organisation, payable at Delhi. Tender form can also be downloaded from our website: www.indiatradefair.com and the tender cost deposited alongwith the Technical Bid in the form of DD.
(2)	Technical Bid in the prescribed format in sealed envelope should be marked with “Technical Bid for Multi Location Audio Video Business Communication Solution(s)”.
(3)	Commercial Bid in the prescribed format in sealed envelope should also be marked with “Commercial Bid for Multi Location Audio Video Business Communication Solution(s)”.
(4)	Bidders are requested to submit the following along with the Technical Bid: i)copies of certificates of VAT/TIN and Service Tax registration, ii)audited copy of latest balance sheet, iii)demand/bank draft towards the tender document cost of Rs. 300/- if not already deposited with ITPO or the copy of the receipt from ITPO if tender fee has already been deposited iv)Copies of job orders for supply of such solutions from Central/State Govt. organizations issued to the bidding company during the last one year are also desirable. v)Detailed configuration of hardware items should be given in the commercial bid using separate paper sheet(s), if necessary.
