TENDER NOTICE
Sub: Tender for supply & installation of business card scanners.
India Trade Promotion Organisation, a Govt. of India enterprise, at present, intends to buy colour card scanner devices which are capable of not only scanning and storing the images of the cards but, at the same, easily creating an editable database of the cards. Besides the use of card scanner being user friendly, the user should have ease of operations in modifying and managing the database so created. The supplier company would also impart necessary training to the users for familiarization with the device and its features for optimum utilization.
General Manager, Computer Department, India Trade Promotion Organisation invites technical and commercial bids from interested companies for supply and installation of card scanners with 3 years on-site comprehensive warranty in ITPO’s premises in Pragati Maidan, New Delhi. The estimated quantity of card scanners to be procured by ITPO is between 6 and 10 at present.
Essential Features Required:

The device should be desktop/laptop compatible which can quickly and accurately scan the printed information from business cards into the correct fields of a powerfully searchable, highly compatible electronic address book. Software features should be capable of helping search, sort and use the contact information efficiently.

The device should have fast scan speed, top accuracy and accompanied by easy-to-use software to turn business cards into data we can use to expand business and create database of clients/customers.

The device should be compatible with Microsoft Outlook, ACT, Lotus Notes, GoldMine, Palm OS, smart phones, Windows Mobile devices etc.

The device should have the facility of web access and online backup of contacts database.
- The device should be expandable for multiple users.

The device search through any keyword.

The device should support different printing formats: Labels, Envelopes & Photo Album.

1.The device should be able to find Duplicates: Exact, Compatible & Conflicting.

Bids are to be submitted in two parts separately viz. (1) Technical Bid and (2) Commercial Bid.

Tender document can be collected in person on payment of Rs. 200/- in cash or by a demand/bank draft for the said amount favouring India Trade Promotion Organisation, payable at Delhi. Tender form can also be downloaded from our website: www.indiatradefair.com and the tender cost deposited along with the Technical Bid in the form of DD

(1)Technical bid should be submitted in the prescribed format in sealed envelope with “Technical Bid for Supply & Installation of Business Card Scanners” clearly written on the envelope..

Bidders are requested to submit the following along with the Technical Bid:

copies of certificates of VAT/TIN and Service Tax registration,
-
earnest money deposit of Rs. 2,000/- in the form of bank/demand draft favouring India Trade Promotion Organisation, New Delhi

demand/bank draft towards the tender document cost of Rs. 200/- if not already deposited with ITPO or the copy of the receipt from ITPO if tender fee has already been deposited

i)Detailed configuration of hardware items offered in the commercial bid

Commercial bid contained in separate envelope and “Commercial Bid for Supply & Installation of Business Card Scanners” written on the envelope should contain the unit price and the tax amount of the item. The percentage of tax applicable on the items should also be mentioned.

Rates quoted in the commercial bid should be valid at least for 30 days from the last date for submission of bids.

Clarifications, if any, may be sought from the above on or before, October 30th 2009 between 10.30 am and 05.00 pm.

ITPO reserves the right to reject any bid without assigning any reason.

Technical and commercial bids must be submitted latest by, October 30th, 2009 (upto 03.00 pm) to:
