Eligibility for submission of bids:

The agencies having at least 3 years experience in designing and executing the project on turnkey basis for setting up of Pavilions in international events organized outside India, need only apply.

Details of the project:

India Trade Promotion Organisation has been allotted an area of 1307.96 sq.mtrs. in Hall 4 and Stand Nos. are 4 U194, 4 U158, 4 U114, 4 T102, 4 T074, 4 V198, 4 V178, 4 V160, 4 V114, 4 V102, 4 V086, 4 U078 and 4 T060. Out of which, we have allotted 960 sq.mtrs. and 46.5 sq.mtrs. bare space to APEDA and Tea Board of India respectively who will construct their booths themselves so ITPO have to engage a C/D agency for C/D work of remaining area i.e.301.46 sq.mtrs. Construction and decoration of India Pavilion is to be undertaken as per our layout and specifications, which is attached. The same has to be followed.

Kindly note that we require the following items:

1. Standard booth of 9 sq.mtrs. constructed with pre-fab system with the following items (as per the drawing attached):

1. Fascia having the company’s name on all open sides as per design with 3” letters.

2. Wall to wall carpeting – Carpet in Dark Blue and ½ mtr. Border in orange colour.

3. Three spot lights of 100 w & one halogen 300 w and one electrical point for 6 sq.mtrs. and five spot lights – 100 w, one halogen 300 w, one electrical point for 9 sq.mtrs. and multiples for bigger stands.

4. Single phase socket on each booth and multiples for bigger stand.

5. Display aids (as per the drawing attached).

6. One table – 70 cm dia

7. Three/four cushion chairs with arms for 9 sq.mtrs./12 sq.mtrs. respectively and multiples for bigger stand.

8. Leaflet holder/ literature rack

9. One waste paper basket

10. One ashtray

11. One coat hanger

12. Ten additional chairs

2. ITPO will arrange the electricity outlets from fair authority and the agency will undertake distribution of the same in booths as per requirement.

3. The colour details of Title graphics, Panel Graphics and placement have been shown in the plan.

4. Triangular Pylon with digitally printed graphics (As per design) with 2 halogen lights on each side for illumination of India stand/ pavilion.

Please note that according to rules & regulations of the fair organizers, a refundable security will be deposited with fair organizers by C/D agency. General information, rules and regulations, terms and conditions of fair organizers regarding C/D are required to be adhered to while undertaking the projects. The details are available at www.sial.fr. A copy of Hall plan and drawing/ design of the India Pavilion are enclosed.

The agency is also required to send a list quoting rates of freezer for MPEDA and additional display aids and furniture, if required by participants directly. The payment for additional items will be paid by the participants directly. The material to be used by agency has to be of very high quality.

You are requested to forward the sealed quote as per our layout plan. The quotes should be in two different envelopes with clear marking as Technical and Financial offer:

1. Technical – Brief of the Agency and the major international jobs done in last 3 years including technical details of the job. Actual photographs of the material to be used i.e. panel, lights, display aids, furniture, graphics, pylon etc. along with a 3D view of the booths and the total site (with graphics) is required to be submitted.

2. Financial – Total price to be quoted (in Euro) inclusive of all Taxes for the job as per details in the design plan.

ITPO reserves the right to:

1. To make changes in the plan/ graphics

2. ITPO reserves the right to accept or reject any proposal at any time prior to award of contract/ order, without assigning any reasons and without any liability on ITPO.

The quotations must reach in ITPO in all respect latest by 27.9.2010 3 pm in Room No.207 addressed to undersigned.
