DETAILS FOR SUBMISSION OF BIDS FOR DESIGNING AND CONSTRUCTION OF ITPO PAVILION AT AAPEX SHOW TO BE HELD AT SANDS EXPO & CONVENTION CENTRE, NV, LAS VEGS, (USA) FROM 2nd TO 4th NOVEMBER 2010

Details of the Project:

1. India Trade Promotion Organisation has been allotted space on Ground Level.

2. The total area allotted to ITPO is 2000 sq ft and area required to be built up is 1600 sq ft i.e. Booth No. 9127, 9128, 9129, 9130, 9132, 9133, 9134, 9227, 9228, 9229, 9230, 9232, 9233 & 9234 in 2 rows and booth no. 9137 & 9138 for ITPO’s office/ common facilitation centre.

3. A design plan with all specifications (display aids, furniture, lights, fascia, etc) showing all the booths is attached. The same has to be followed.

4. Every booth of participants (9127, 9128, 9129, 9130, 9132, 9133, 9134, 9227, 9228, 9229, 9230, 9232, 9233, 9234) 100 sq ft. will have partition panels (2.5 mtr), red colour carpet, fascia as per given details, 5 spot lights with adjustable arm (100 watt each), two shelves as shown in the plan, one Lockable counter, three chairs, one table, one electric socket, one ash tray and one waste paper basket, one perforated board, one podium, 2 panel graphics of dimension 0.5m X 2.5m to be pasted on panel as shown in the layout plan

5. ITPO’s office common facilitation centre (Booth no. 9137 & 9138) will have the following display aids: partition panels (2.5 m), red colour carpet, fascia as per given details, 10 spot lights with adjustable arm (100 watt each), one Lockable counter, Seven chairs, Two table, Two electric socket, Two ash tray and one waste paper basket, One tea /coffee vending machine, 2 panel graphics 0.5m X 2.5m to be pasted on panel as shown in the layout plan and 2 additional panel graphics 1m X 2.5m (design as shown in the layout plan).

6. The colour details of Title Graphics, Panel Graphics and placement has been clearly shown in the plan.

7. The layout plan of the pavilion, design graphic for the panel and booth design and display aids are attached to this document.

8. Details/Names for the fascia will be provided by ITPO separately.

9. ITPO will arrange the electricity outlets from the fair authority and the agency will undertake distribution of the same in booths as per requirement.

10. The rates include assembling, dismantling, transportation, drayage, maintenance, pre& daily cleaning of the India Pavilion and garbage disposal.

General Information, Rules/regulation of the fair authority and Sands Expo Centre are required to be adhered to while undertaking the project. Details are available at www.aapex.com.

The material to be used by the agency has to be of a very high quality. The agency is also
required to send a list quoting rates of additional display aids and furniture, if required by
participants directly.

Eligibility for submission of bids:

The agencies having at least 3 years experience in designing and executing the projects on
turnkey basis for setting up of pavilions in international events organized outside India, need
only apply.

You are requested to forward the sealed quote as per our layout plan. The quotes should be in two different envelopes with clear marking as Technical & Financial offer :

1. Technical – Brief of the Agency and the major international jobs done in last 3
years including technical details of the job. Actual photographs of the material to be used i.e. panels, lights, display aids, furniture, graphics etc. along with a 3D view of the booths and the total site (with graphics) is required to be submitted.

2. Financial – Total price to be quoted (in US$) inclusive of all Taxes for the job as per details in the design plan.

ITPO reserves the right to:

1. To make minor changes in the plan/graphics.

2. ITPO reserves the right to accept or reject any proposal at any time prior to award of contract/order, without assigning any reasons and without any liability on ITPO.

The quotations must reach in India Trade Promotion Organisation, Pragati Bhawan, Pragati Maidan, New Delhi 110001, India, in all respect latest by October 04, 2010 by 3 pm in Computer Division. The bids shall be opened the same day at 3.30 PM.
