The tenderers who are based in NCR region and have at least 10 fleet of Buses consisting of both big and small in his company/owners name and should have at least three  years experience in supplying Buses on hire basis to any central/state Govt organisation OR a large public sector undertaking, are eligible to participate.

Sub: HIRING OF CNG FULL BUSES/RTVS/MINI BUSES.         

The India Trade Promotion Organisation wishes to hire CNG Buses/RTVs/MiniBuses (Non A.C) from time to time throughout the year for official use. The contract period will be for one year. The demand of Buses/RTVS/Mini Buses may increase when ITPO holds fairs/exhibitions in Pragati Maidan. However, Every year during the month of November,Buses/RTVs/Mini Buses are hired to meet our additional  requirement of transport in view of India International Trade Fair,. The terms and conditions for hiring of vehicles are as under: 

1. The vehicles should be in excellent condition and owner should have  a fleet of at least 10 CNG Buses consisting 0f both big and small in his companies/owner’s name or under an agreement with other transporters to maintain the required fleet of buses. 

2. The vehicles can be requisitioned for duty at any time including during odd hours by making a telephone call/written order. 

3. The driver are required to perform duty in well-disciplined manner and have to be punctual. They have to be properly attired. 

4. The dead mileage will be counted from garage to the place of reporting and from the place of release of the vehicle to the garage on actual basis. No extra garage mileage would be permitted. 

5. It will be obligatory to depute the same vehicle with same driver every day to avoid inconvenience and confusion to the user. 

6.  Parking charges /Toll Tax State Govt. Tax will be reimbursed on actual basis. 

7  ITPO reserves the right to dissolve the contract at any time without assigning any reason whatsoever.

8. The duty slip of vehicle will be maintained by our officers. However, Driver will be required to take signature of the officer on the duty slip daily which will indicate actual meter reading and time and place of reporting for duty. Similarly, the same procedure  will be followed  while releasing  the vehicle for garage.

9. In case of supply of AC vehicles by the transporter against the demand of non AC vehicles, no extra charges over the rate of NON AC shall be paid.

10. During the currency of the contract no increase in rates what so ever will be allowed.

11. Any dispute arising out of the contract will be subject to the jurisdiction of Courts in Delhi/New Delhi only.

You are requested to submit your quotations, in  the Enclosed  Format in two sealed envelopes Part I containing  Bank Draft in favour of India Trade Promotion Organization amounting to Rs.50,000/- as interest free security deposit and copies of registration certificate of the buses with details on the prescribed performa attached (Annexure- I ) showing the vehicles in the company/owners name or an agreement with other transporters containing that this company will replacement the fleet of buses as required by ITPO  along with proof of providing buses to Govt./Public Sector Undertaking. Only those company’s tenders will be opened who will qualify in part-I tender.

Part-II will contain rates etc. in the prescribed Performa.(Annexure ii). The last date for submission of tender is up to 11/09/2009 by 15.00 hrs. in Room No.40A. Quotations without earnest money will be summarily rejected. The Tenders may be dropped in the tender box kept in room no. 40A, India Trade Promotion Organisation, Pragati Bhawan Annexe Building, Pragati Maidan, New Delhi 110001 which will be opened at 16.00 hrs. on the same day by a constituted committee of officers of ITPO  in presence of  tenderers, who wish to participate.

The prospective tenderers are advised to furnish the self attested copies of the Pan card Income Tax Act ,Vat, Service Tax Registration Number.   Yours sincerely,
